Marketing Ops is where these invisible gaps hide. Blind spots, where things can stall or leak, where the biggest problems stay buried until the toilet explodes it’s too late.

Here are 7 gaps to check in your Marketing workflow right now. 

We’ll start with what’s already leaking, and then build early warning systems for the extra-invisible stuff.

The Leaks You Feel Right Away

You’re already mopping these up, daily. You just might not have named the leak, or called the plumber

1️⃣ The Version Gap

“Hey, which file is live right now?” (I just got PTSD writing that line.)

If you’ve ever had to panic-check a filename for “final_final_USE_THIS_ONE” or “v7” to answer that, you already know this gap. 

Every extra piece of copy is 1 more chance for someone to grab the wrong version. That’s how an expired promo, or the press release from BEFORE legal reviewed it, ends up live, in front of a customer.

The fix: 1 asset with version history, with 1 home. So “which file is real?” never even gets asked. 

2️⃣ The Intake Gap

Where does a request even start?

Before I had a process, requests started wherever someone caught me. A DM, stopping me in the hallway, hidden inside a reply-all that I quit reading at reply #3

When every request arrives in its own way, missing a different piece and without a clear paper trail, every project starts a little bit broken.

The fix: adding a front door: same intake, same fields, every time. So work starts with every piece already in place, instead of with a scavenger hunt. 

Nailed it.

3️⃣ The Handoff Gap

This gap looks like: you, stuck waiting 3+ days while your budget request or sales loop-in is parked in an inbox, behind another team’s priorities. 

Worse, the 3 days you spent waiting are totally invisible. The only thing anyone remembers is the deadline YOU missed. I hate to say it.

I think this is the 1 that slows most teams down, which is a bummer, because Marketing is a game of momentum and speed. 

Instead, let the next team instantly see their piece of the work the second it’s ready (not waiting on you to forward it), already in their priorities, not tacked-on for “when they have a chance.”

4️⃣ The Tech Stack Sprawl Gap

Every tool you’ve added was supposed to fix something specific. And it did. Which is how you ended up with 9 of them.

Now, campaigns live in 1, assets in another, approvals in a third, and half your day disappears into figuring out where everything is. 

Every extra login is another invisible gap where things get stuck. Another piece of duct tape. And eventually, another line item somebody above you starts questioning.

Before you add the next 1, ask what tool it’s retiring. If the answer’s “none of them,” you’re just paying to make the maze even bigger.

The Leaks You Need a Warning System For

These next 3 are more dangerous, because they stay hidden behind the wall until they explode.

5️⃣ The Approval Gap

“Who actually signed off on this?”

A thumbs up emoji isn’t a record. Neither is somebody saying “looks good” in the hallway. Because they won’t help you the day something ships wrong and suddenly everyone remembers that meeting differently. 

You need an actual approval trail, names and dates, something you can pull up on-demand.

6️⃣ The AI Action Gap

If AI edits your copy, adjusts targeting, or writes the first draft…can you tell someone exactly what changed? Can you easily undo it? 

This is the most invisible 1 on the list, because most teams are letting AI into the workflow faster than they’re deciding (and writing down) what it’s allowed to do. This 1 hits the morning an AI edit goes live, wrong, and nobody can explain how. 

Treat AI edits the way you’d treat a human’s: logged, attributed, and easy to undo. No special exceptions just because it’s AI. 

7️⃣ The Budget-to-Results Gap

“Did that campaign actually work?”

Right now, on demand, could you point to what you spent and connect it directly to what it got? Dollar amounts, pinned to real outcomes? Or would it take you half a day to put together from half a dozen places?

This is the ultimate (and most costly) example of invisible work being unfixable and unverifiable.

Without real-time visibility, you might be CRUSHING it and still lose your stakeholders.
